01Agreement to these terms

These terms govern use of the Canyon Lakers Baseball website and participation in the Canyon Lakers program. By registering a player, sponsoring the club, making a donation or using this site, you agree to them.

Registration must be completed by a parent or legal guardian who is at least 18 years old and has authority to enter into this agreement on the player's behalf. Questions go to info@CanyonLakersBaseball.com.

02Tryouts and roster spots

Tryouts are free and open to any player in the 9U through 13U age range. Age groups follow the sanctioning body's cutoff — a player's age as of April 30 of the season year.

• Placement is at the discretion of the coaching staff, based on skill, effort and coachability observed at tryouts.
• Attending a tryout does not guarantee a roster spot. Rosters are capped so that every player gets meaningful innings.
• A roster spot is confirmed only when registration is complete and the deposit has been paid.
• The club may decline a registration, or remove a player or family from the program, for conduct covered under Code of conduct.

03Fees and payment

The season costs roughly $400 per player, the same across all five age groups, collected in two parts.

Registration deposit

A $200 deposit is due at registration and is processed by card through Stripe. It secures the roster spot and covers entry fees for the team's first tournaments. It does not include uniforms or apparel.

Season balance

The balance covers the uniform and apparel package, player and team insurance, and the remaining tournament entry fees. Because teams decide how many tournaments to play beyond the three guaranteed, the exact balance is set once a team confirms its slate at the pre-season family meeting. We then invoice each family, and payment is due before the team's first tournament.

Other charges

• Optional add-ons selected at registration — extra hats, hoodies and similar gear — are charged with the deposit.
• Travel, lodging and meals for out-of-town tournaments are a family expense and are not billed by the club.
• Personal equipment — glove, bat, cleats, helmet — is a family expense.

Late or missed payment

A player whose season balance is unpaid at the start of the tournament season may be held out of play until the account is settled. We would much rather talk to you first: need-based scholarships are funded by our sponsors and donors, and those conversations stay between the family and the program director.

04Refunds and withdrawal

• The registration deposit is refundable until tournament entries have been filed for the team. After that point the money is committed to event operators and is not recoverable by the club.
• Once uniforms have been ordered, the uniform portion of the season balance is non-refundable.
• A family withdrawing mid-season may request a prorated refund of the balance. We will refund what has not already been committed to entry fees, insurance, facilities and gear.
• Refunds are not given for games or practices missed due to weather, illness, injury, suspension or a family's own schedule.
• Sponsorships and donations are non-refundable once processed.

Refund requests go to info@CanyonLakersBaseball.com and are handled case by case, in writing.

05Season commitment

Travel baseball only works when families show up for each other. During the spring and summer season, expect one to two practices per week and at least three weekend tournaments, plus occasional team events.

We encourage multi-sport athletes and expect players to keep playing Little League, football, basketball and everything else. In exchange we ask that families communicate conflicts early and do their best to honor Canyon Lakers practice and tournament commitments during the main season. Repeated no-shows without communication affect the whole roster and may affect playing time.

06Code of conduct

Players

• Show up on time, prepared, and ready to work.
• Treat teammates, opponents, coaches and umpires with respect. The handshake line is not optional.
• No abusive language, no equipment throwing, no arguing calls.

Parents and spectators

• Cheer for the team. Coaching comes from the coaches.
• Stay out of the dugout during games.
• Do not address umpires. Comments directed at officials draw warnings against the Lakers, and repeated incidents can result in a team penalty or ejection from an event.
• Concerns about playing time or a coaching decision wait 24 hours, then come by email so we can set up a call.

Coaches and volunteers

All coaches and volunteers working directly with players complete a background check and required safety training before the first practice, at the club's expense.

Consequences

The club may warn, suspend or remove a player, parent or volunteer for conduct that endangers others, harasses anyone, or repeatedly disrupts the program. Removal for conduct does not entitle a family to a refund of committed costs.

07Assumption of risk and medical authorization

Baseball carries inherent risks, including collisions, being struck by a batted or thrown ball, falls, overuse injuries, heat illness and, in rare cases, serious or catastrophic injury. Travel to and from events carries its own risks. By registering a player you acknowledge these risks and accept them on the player's behalf.

Registration includes a participation waiver and medical release, signed separately. That signed document governs — this section describes it but does not replace it. Where the two differ, the signed waiver controls.

You authorize coaches and club representatives to seek emergency medical care for your child if you cannot be reached, and you accept responsibility for the cost of that care. Tell us about allergies, conditions and medications at registration so we can respond appropriately.

08Photo and media release

By registering, you choose at the time of registration whether the club may photograph your child and publish those images on this website, in team materials and on club social media. You can decline, or change your mind later, without affecting your child's participation. See the privacy policy for how we handle images and how to request removal.

Photographs taken by the club remain club property. Families are welcome to use team photos personally, but not to sell them or use them to promote another organization.

09Schedules, weather and cancellations

Schedules are published as early as we can and will change. Tournament operators set game times, often releasing bracket times the evening before. Weather cancellations are called by the event operator, not the club.

Rain-outs and same-day changes are posted to the team messaging app and our Facebook page, and sent by text where we can. Cancelled games are not refunded by the club, since entry fees are paid to the operator in advance and are usually non-refundable to us.

10Uniforms and equipment

The uniform and apparel package is billed with the season balance and is yours to keep. Players are expected to be in full, correct uniform for every game. Replacement pieces mid-season are a family expense and can be ordered through the club.

Club-owned equipment — catching gear, training aids, field equipment — is loaned for the season and must be returned in working order. Families are responsible for the replacement cost of club equipment that is lost or damaged through neglect.

11Sponsorships and donations

• Sponsorship packages run one season, from April through July, and are renewable at the club's discretion.
• Sponsorship and donation payments are non-refundable once processed.
• By sponsoring, you grant the club a limited license to display your business name and logo on banners, team apparel, this website and club social media for the term of the sponsorship, and you confirm you have the right to grant it.
• The club may decline or end a sponsorship where the association is inappropriate for a youth organization.
• Donations support the player fund, which covers registration scholarships, entry fees and travel assistance. We are not currently able to state that donations are tax-deductible. Ask us about giving through a fiscal sponsor if deductibility matters to you, and consult your own tax adviser.

12Use of this website

The content of this site — text, layout, photographs and the Canyon Lakers name and logo — belongs to the club or is used with permission. You may view, print and share pages for personal, non-commercial purposes connected to the program. You may not copy the site's design or use the club's marks to imply a relationship that does not exist.

Do not attempt to disrupt the site, submit false registrations, or use it to collect information about other families. We may refuse access for misuse.

We work to keep schedules, fees and other details accurate, but the site is provided as is. Confirm game times with the event operator before driving to a tournament.

13Limitation of liability

To the fullest extent permitted by South Dakota law, Canyon Lakers Baseball and its board members, coaches and volunteers are not liable for indirect, incidental or consequential damages arising from participation in the program or use of this site. Nothing here limits liability that cannot be limited by law, including liability for gross negligence or willful misconduct.

The club does not control the facilities, officiating or conduct of third-party tournament operators, host venues or other teams.

14Governing law and disputes

These terms are governed by the laws of the State of South Dakota, without regard to conflict-of-law rules. Any dispute arising from participation in the program or use of this site will be brought in the state or federal courts located in Pennington County, South Dakota.

Before that, please just call us. Nearly everything is solved with a conversation.

15Changes to these terms

We may update these terms as the program changes. The effective date at the top reflects the current version, and continued participation after an update means acceptance. Where a change materially affects fees, refunds or commitments, we will email registered families directly.
